California Film Institute, Membership Associate

 

The mission of the California Film Institute is to celebrate and promote film as art and education. The California Film Institute is the Christopher B. Smith Rafael Film Center, the Mill Valley Film Festival, and CFI Education.

The goal of the Membership Associate position is to support member retention and growth through exemplary communication, strategic sales and member relations, great attention to detail, and contribution to the organization.

 

Duties/Responsibilities

Sales:

  • Be knowledgeable of all membership benefits and sale possibilities to ensure that every inquiry has top sales potential
  • Interface with customers and members to either upgrade or sell new memberships in person at events, over the phone, or via email
  • As a CFI representative, always professionally engage with members at every touch point, specifically long time constituents, to ensure a positive experience
  • Assist with reaching monthly sales goals by being able to think creatively with the Membership Manager, in coming up with new sales strategies, as well as independently
  • Attend quarterly BAMMA conference to be updated and informed on new industry standards in order to offer knowledgeable support with upcoming membership changes
  • Create reports for membership data findings and analysis to assist with future sales planning
  • Communicate with MVFF operations so that membership sales are visible at all time in designated areas.
  • Ensure that Membership sales tables at events and The Rafael are activated properly with high visibility of signage and sales collateral
  • Manage two databases for membership processing and constituent records
  • Communicate with box office regarding complimentary membership processing (MVFF)

Member Relations:

  • Maintain superior relationships with prospective and existing members through exceptional service by phone, in person, and email
  • Ensure that website ticketing and membership navigation function properly
  • Communicate with box office ticketing (Rafael and MVFF) when members need assistance or clarity on purchases made
  • Respond to all calls and emails from members and customers within 24 hours
  • Train MVFF Office Assistant onboarding to properly answer general membership question and forward inquiries to correct department
  • Ensure fulfilment of benefits is met and properly executed

Volunteer Management:

  • Manage volunteer schedules through Shiftboard
  • Facilitate Volunteer shiftboard sign up and recruitment
  • Partner with MVFF Volunteer Coordinator with onboarding and Shiftboard management
  • Coordinate with lead volunteers via phone and email on a regular basis
  • Train and schedule Membership Ambassador volunteers for membership table sales at The Rafael
  • Train, schedule, and manage volunteers for ongoing mailings
  • Train and manage volunteers at events such as Member screenings

Events:

  • Prepare member screenings invitation communication by creating email lists and scheduling campaigns to carefully chosen grouped members
  • Track tiered invites to member levels per screening throughout the year to ensure receival of full member benefits
  • Attend all events at MVFF and Year-Round as needed to support membership relations, monitor event logistics and assist as needed, and engage with members to create genuine connections and relationship building.
  • Manage film screening operations on site with responsibilities including, line control, greeting, answering patron questions, communication with house manager, letting in rush line, fielding complaints, etc.
  • Gather information and create showflows for member screenings with talent

Marketing:

  • Create monthly renewal emails and send out to expiring members (3-4 per month)
  • Create and design promotional emails as needed or opportunity is presented
  • Manage Mailchimp on a daily basis, specifically with lists and all communication for recurring emails (renewals and events)
  • Communicate with marketing to formally request social media posts
  • Send graphic requests to Marketing department for email and website graphics.

Support Membership Manager as needed:

  • Attend informational meetings and report back to Membership Manager
  • Generate reports per departmental requests
  • Be prepared to take on additional tasks as needed to assist Membership Manager with any projects that arise
  • Occasionally need to stand in at events for Membership Manager
  • Occasional needed for member sales pitch on stage before screenings (MVFF)
  • Meet weekly with Membership Manager to plan out the following week and check in on current projects

Hours/Schedule

  • This position is full-time (min. 40 hrs/wk)
  • Occasional weekend and evening hours required throughout the year
  • Must be available daily during the 11 day Mill Valley Film Festival every October

Qualifications/Experience

  • Bachelor's degree
  • 2-3 years of administrative management and customer relations experience prefered
  • Sales, experience in a non-profit office, and/or film festival experience is a plus.
  • Extremely proficient with database management, MS Office (primarily Excel and Word), Gmail and Google Docs.
  • Precisely detailed, organized, and thorough.
  • Excellent verbal and written communication skills.
  • Must have a strong work ethic and a professional and positive attitude
  • Ability to work well as part of a team and multitask with competing deadlines
